From the Administration Menu, click External Gateway > Generate licence keys
From here administrators can produce licence keys for different licence types. The licence key generator will export all required details to Excel from where letters or emails to parents/pupils can be mail merged.
If you are using a system that allows you to generate emails from a mail merge, then you may want to use the 'Clickable URL' in the downloaded Excel file. When a user receives the email, they can merely click on the link. This will take them directly to the pupil registration screen and auto-complete the registration form, leaving only the CAPTCHA code to be completed by the user.
Important: You need to ensure your 3rd-party email software does not tamper with the link provided by Pupil Tracking e.g. splitting it onto 2 lines. You should always send a test email before sending emails out en masse.
Schools who have not bought into the External Gateway may still export licences but the number of pupils is limited to 5. You can use these 5 licences to trial the external gateway.
Warning: If your local authority uses a domain for email addresses that is the same across all schools e.g. pupilname@onebiglocalauthority.com then we highly discourage issuing pupil licences as the potential for errors when pupils enter email addresses is very high. One letter in the wrong place and they could be giving someone else in the local authority access to their account. This could be another pupil or a teacher. School level domains are advised for pupil accounts.
