From the Administration Menu, click Pupil Manager > Add a new pupil
The first step in adding a new pupil to Pupil Tracking is to enter the pupil's personal data. Once the pupil's personal data is saved the options to enter shared, general and set data will become available.
Administration Number (UPN/SCN)
When your system is built each pupil is given a unique ID (primary key). This is normally the UPN (Unique Pupil Number) issued by the DFES in England or the SCN (Scottish Candidate Number) in Scotland. Pupil Tracking refers to this primary key as the administration number or Adm No.
Maximum of 14 alphanumeric characters. The Administration Number uniquely identifies the pupil on Pupil Tracking. All data held on Pupil Tracking is tied to this number and it is used to bind data to pupils when importing data. On clicking Save Pupil Tracking will return an error if the number you have entered is duplicated. Administration numbers can be edited later.
Forename
Maximum 20 alphabetic characters. The pupil's forename.
Surname
Maximum 20 alphabetic characters. The pupil's surname.
Year
Maximum 2 numeric characters. The pupil's year group.
Form/Tutor Group
Maximum 10 alphanumeric characters. The pupil's form/tutor group.
DOB
Maximum 10 alphanumeric characters. The pupil's date of birth.
Once the above information has been saved the options below become available:
Edit Sets
Maximum 12 alphabetic characters. (The ampersand '&' character is not allowed in set codes)
From the edit sets screen it is possible to add/edit sets from pupils in the following ways:
Select from Existing Sets
This option provides a drop down menu of existing sets for the pupil's current year group.
Manually Enter New Set
This option enables a new set code to be manually entered.
PFL
This option will open a child window displaying the set codes for all years for the selected subject. Clicking a set code within the child window will automatically enter it into the Manually Enter New Set box. This option may be useful when trying to generate a new set code based upon existing codes.
A pupil is deemed to take a subject if he/she has a set code for that subject.
Edit General Data
See editing general fields for more information on text, decimal and whole number entries.
From the edit general data screen you can enter any general data you have available.
For All Subjects Edit the Shared Field
See editing shared fields for more information on text, decimal and whole number entries.
Using this option it is possible to enter data for the same shared field for all subjects.
Edit All Shared Fields for the Subject
Using this option it is possible to enter data for all shared fields across a single subject.
